Buy-Back Policy

Purpose

To outline ITAD NZ’s commitment to offering a transparent and fair buy-back program for reusable IT equipment, providing customers with financial value while offsetting service costs and ensuring responsible asset disposition in compliance with industry standards and regulations.

Scope

This policy applies to all customers submitting laptop and desktop computers, mobile phones, tablets, and server equipment to ITAD NZ for processing, including data destruction, collection, and e-waste recycling, at our facilities in Auckland, Christchurch, Wellington and Palmerston North.

Policy Statement

ITAD NZ offers a buy-back program for IT equipment suitable for reuse with significant market value, ensuring customers receive fair rebates while maintaining secure, compliant, and environmentally responsible disposal processes. This policy aligns with our Service Level Agreements (SLAs) and commitments to transparency, data security, and sustainability.

1. Eligible Equipment

ITAD NZ will evaluate and offer to purchase the following types of equipment deemed suitable for reuse and possessing resale market value:

a. Laptop and Desktop Computers

b. Mobile Phones

c. Smart Devices & Tablets

d. Server & Networking Equipment

2. Buy-back Offer Valuation

The buy-back offer price is determined based on the following factors:

a. Current Wholesale Market Value: Assessed using industry-standard pricing data for comparable devices.

b. Condition: Physical and operational state of the equipment (e.g., wear, damage).

c. Completeness: Presence of essential components (e.g., power adapters, batteries).

d. Functionality: Operational performance, verified through testing during inventory.

3. Settlement Process

Offset Against Service Fees: The buy-back offer price is applied as a credit to offset applicable service fees, including data destruction, collection, and other processing costs. This net amount is referred to as the “Settlement Value.”

If the buy-back offer exceeds service fees, the remaining amount is issued as a rebate to the customer.

If service fees exceed the buy-back offer, the customer is invoiced for the net (extra) charge.

Payment Terms: Rebates are paid to the customer via bank transfer by the 20th of the following month after the issuance of the settlement report, unless otherwise agreed in writing.

Transparency: The Settlement Value is clearly detailed in the asset settlement report, ensuring full visibility of calculations.

4. Asset Settlement Reporting

Notification: Customers are notified of the Settlement Value via email within 15 business days of processing completion, as per our SLA for reporting.

Report Contents: The asset settlement report includes:

Serial numbers of major assets.
Specifications and condition of each device.
Buyback offer price per device.
Itemized service charges (e.g., data destruction, collection).
Net Settlement Value (rebate or charge).

Delivery: Reports are delivered securely via email or a customer portal (if requested), in compliance with the Privacy Act 2020.

5. Transfer of Title

Unless otherwise agreed in writing, title to equipment supplied to ITAD NZ and detailed in the asset settlement report transfers to ITAD NZ upon the customer’s receipt of the report. This ensures clarity of ownership and supports our responsible reuse and recycling processes.

6. Compliance and Security

Data Security: All data-bearing devices are sanitized using NIST 800-88-compliant methods (e.g., Blancco overwriting, physical shredding), with certificates of destruction issued within 5 business days of processing, per our SLA and Information Classification and Handling Policy.

Environmental Responsibility: Reusable devices are prioritized for refurbishment through the buyback program, with non-reusable components recycled in compliance with e-Stewards standards, aligning with our Code of Conduct.

Regulatory Adherence: The buy-back process complies with the Privacy Act 2020, ensuring customer data protection and transparency in financial transactions.
